File List Enhancements

You have commented and we are listening!  Onware is delighted to announce enhancements to File List uploading, Access and Watching!

Security/Access

Security surrounding who can access a folder can now be set, either at the project level or to the Folder Template (which is applied to all newly created projects).  To learn more about the Folder Template, click here.

Follow the below steps to set access for a folder.

Project Specific

  1. From the Navigation Menu, select Project Administration > File List.
  2. Select the folder which requires Folder Access.
  3. From the Folder Access area, select which Role(s) require access.
  4. Select Save.
  5. Repeat steps 2-4 above for each folder which requires specific access.

NOTE: Folder Access does not propagate to sub-folders.  Access must be explicitly set for each folder.

Global

NOTE: The Folder Template, including assigning Access to folders within the Folder Template, is managed by an Onware Administrator.  Access can be assigned to folders once a default folder structure has been created.  To learn more about the Folder Template, click here.

Uploading

In version 8.18.1, all project participants can upload documents into the File List.

Watching

Based on customer feedback, we have included the functionality to watch a folder.  Previously project participants were only able to watch a file or multiple files.

When a project participant is set to watch a folder, they will be notified, via e-mail, when a change occurs in the folder.

With the folder selected, choose “Watch this folder”.  Once selected, your name will appear in the list of People Watching,
